Job Summary

The Store Officer is responsible for managing the receipt, storage, issuance, and documentation of materials, products, and supplies. The role ensures accurate inventory control, proper stock management, and compliance with organizational procedures to support efficient business operations.


Key Responsibilities

1. Inventory Management
  • Maintain accurate records of stock receipts, issues, transfers, and balances.

  • Monitor inventory levels and ensure optimum stock availability.

  • Conduct regular physical stock counts and inventory audits.

  • Reconcile physical inventory with system records.

2. Receiving and Inspection
  • Receive incoming materials and verify quantities and quality against purchase orders and delivery notes.

  • Inspect goods for damage and report discrepancies.

  • Prepare Goods Received Notes (GRN) and update inventory records.

3. Stock Issuance and Distribution
  • Issue materials according to approved requisitions.

  • Maintain proper documentation for all stock movements.

  • Coordinate with departments to ensure timely delivery of materials.

4. Store Organization
  • Ensure proper storage, labeling, and arrangement of goods.

  • Maintain cleanliness, safety, and security of the store area.

  • Implement FIFO (First In, First Out) or FEFO (First Expired, First Out) inventory practices where applicable.

5. Reporting and Documentation
  • Prepare daily, weekly, and monthly inventory reports.

  • Maintain stock registers, bin cards, and inventory management systems.

  • Assist in preparing stock valuation and inventory analysis reports.

6. Compliance and Safety
  • Follow company policies and inventory control procedures.

  • Ensure compliance with health, safety, and security standards.

  • Support internal and external audits.


Required Qualifications

  • Bachelor's degree in Management, Business Administration, Supply Chain Management, Logistics, or a related field.

  • Diploma or certification in inventory/store management is an advantage.
