Job Title: Procurement Officer
Designation: Procurement Officer
Reports to: Deputy Director of Procurement & Logistics Warehouse and Inventory
Location: Birtamod, Jhapa, Nepal
Shift: Standard (09:00 AM to 05:00 PM) from Sunday to Friday
Position Overview:
The Procurement Officer is responsible for supporting and executing procurement activities to ensure the timely and cost-effective acquisition of goods and services. The role includes vendor coordination, purchase processing, import/export handling, and compliance with procurement policies. The candidate should be detail-oriented, proactive, and capable of managing multiple tasks efficiently. The role requires periodic travel between locations and supplier sites.
Roles and Responsibilities
Procurement Operations
Manage procurement of materials, equipment, and services as per organizational requirements.
Process purchase requests and prepare purchase orders in line with company policies.
Coordinate with vendors and internal departments to ensure timely delivery.
Maintain accurate procurement records and documentation.
Import/Export & Logistics Management
Handle import and export processes, including documentation, shipment coordination, and customs clearance.
Work with international suppliers from India, China, and the USA.
Ensure compliance with international trade regulations, duties, and documentation requirements.
Coordinate with freight forwarders, clearing agents, and logistics partners.
Vendor Management
Identify, evaluate, and onboard suppliers and service providers.
Maintain an updated vendor database.
Obtain quotations, negotiate pricing, and follow up on orders.
Monitor supplier performance and resolve issues when required.
Market Research & Cost Optimization
Conduct market research to identify cost-effective sourcing options.
Compare quotations and support negotiations to achieve competitive pricing.
Assist in cost analysis and procurement budgeting.
Compliance & Documentation
Ensure all procurement activities comply with company policies and regulations.
Maintain proper documentation for audits and reporting.
Support contract documentation and adherence to agreed terms.
Reporting & Coordination
Prepare procurement reports and track KPIs.
Coordinate with finance, stores, and other departments for smooth operations.
Support senior procurement staff in planning and execution.
Skills and Qualifications
Bachelor's degree in business administration, Supply Chain Management, or related field.
2–3 years of experience in procurement or supply chain.
Experience in import/export operations.
Competencies and Soft Skills
Strong understanding of procurement processes and vendor management.
Knowledge of import/export procedures, customs regulations, and international sourcing.
Proficiency in Microsoft Office.
Strong negotiation and communication skills.
Good organizational and multitasking abilities.
Attention to detail and problem-solving mindset.
Ability to work under pressure and meet deadlines.
Willingness to travel as required.
