Job Description

Roles and Responsibilities

1. Office Operations Management
 Oversee the day-to-day operations of the office and ensure that all departments function efficiently and professionally. Maintain a well-organized working environment that supports staff productivity and quality student service.

2. Staff Supervision and Coordination
 Supervise office staff including counsellors, reception personnel, and compliance staff. Assign tasks, monitor performance, manage attendance, and ensure staff follow internal procedures and service standards.

3. Student Service Oversight
 Ensure all students and guardians receive professional, timely, and accurate service from the consultancy team. Monitor the student journey from initial inquiry to enrollment and visa process to ensure smooth handling.

4. Scheduling and Work Allocation
 Prepare daily, weekly, and monthly work schedules for staff. Coordinate counselling appointments, interview preparation sessions, documentation support, and follow-up activities.

5. Communication Management
 Manage official communication within the office and coordinate with partner institutions, university representatives, visa processing teams, agents, and service providers where required.

6. Record Keeping and Office Documentation
 Ensure proper maintenance of office records, staff files, student files, internal reports, attendance records, correspondence, and operational documents in both physical and digital formats.

7. Policy Implementation
 Implement company policies, office procedures, student handling protocols, and service standards. Ensure all staff understand and comply with company rules and expectations.

8. Problem Solving and Escalation Handling
 Address operational issues, staff concerns, student complaints, and service delays in a timely and professional manner. Escalate major issues to management with proper recommendations.

9. Inventory and Resource Management
 Monitor office supplies, brochures, forms, stationery, equipment, and technology needs. Ensure necessary office resources are available at all times.

10. Performance Monitoring and Reporting
 Monitor office productivity, application progress, student conversions, pending cases, and staff efficiency. Submit regular operational reports to management.

11. Meeting and Event Coordination
 Organize internal staff meetings, training sessions, university events, seminars, and student information sessions. Ensure proper preparation and follow-up of such activities.

12. Confidentiality and Professional Standards
 Maintain strict confidentiality regarding student records, business information, partner information, and company data. Uphold the company’s image and reputation at all times.

13. Support to Management
 Assist management in strategic planning, business development activities, workflow improvements, and implementation of new systems and processes.

14. Other Duties
 Perform any other office administration or operational duties assigned by management in line with the nature of the role.

15. Must be responsible and focused on vendor monitoring and suggest improvements in organizational business PR, development, expansion, and hospitality standards.
