Roles and Responsibilities
1. Front Desk Management
Manage the reception area and ensure it remains organized, presentable, and professional at all times.
2. Greeting and Assisting Visitors
Welcome students, parents, visitors, university representatives, and other guests in a polite and professional manner and direct them to the appropriate staff member.
3. Inquiry Handling
Receive and respond to walk-in, telephone, email, and online inquiries regarding study abroad services, appointments, and general company information.
4. Appointment Scheduling
Schedule counselling sessions, meetings, interview preparation appointments, and follow-up visits, and maintain an accurate appointment calendar.
5. Lead Registration
Collect student basic information at the first point of contact and record inquiries properly in the company register, system, or CRM.
6. Telephone and Communication Duties
Answer incoming phone calls professionally, transfer calls to relevant staff, take messages, and ensure prompt communication within the office.
7. Student Waiting and Queue Management
Manage visitor flow, waiting times, and appointment coordination to ensure an efficient and pleasant front-office experience.
8. Basic Information Support
Provide basic initial information about the company’s services, destination countries, and counselling process, and refer detailed discussions to counsellors.
9. Document Receiving and Filing Support
Receive submitted documents from students, ensure they are properly labeled, and hand them over to the relevant department or staff member.
10. Record Maintenance
Maintain daily visitor logs, inquiry registers, call records, appointment records, and front desk reports accurately.
11. Office Presentation
Ensure brochures, forms, promotional materials, and front desk materials are properly displayed and stocked.
12. Support to Office Administration
Assist with photocopying, scanning, printing, filing, courier handling, and other basic administrative tasks as assigned.
13. Customer Service Excellence
Handle all visitors and inquiries with professionalism, courtesy, patience, and a positive attitude to maintain the company’s reputation.
14. Confidentiality and Professionalism
Maintain confidentiality of student and office information and represent the company positively through professional behavior and communication.
15. Other Duties
Perform any other reception, front-desk, or administrative support duties assigned by management.
16. Must be focused on organizational business PR, development, expansion and best hospitality.
