Job Summary
The Executive Assistant provides high-level administrative and operational support to senior executives. The role involves managing schedules, coordinating meetings, handling correspondence, preparing reports, and ensuring the smooth functioning of executive office activities. The Executive Assistant serves as a key liaison between executives, employees, clients, and external stakeholders.
Key Responsibilities
1. Executive Support
Manage and maintain executive calendars, appointments, and schedules.
Organize meetings, conferences, and business events.
Prepare agendas, meeting minutes, and follow-up action items.
Screen and prioritize incoming communications, including emails, calls, and correspondence.
Draft, edit, and proofread reports, presentations, and official documents.
2. Administrative Coordination
Coordinate travel arrangements, accommodation, and itineraries.
Maintain confidential files, records, and documentation.
Track deadlines and ensure timely completion of assigned tasks.
Support project coordination and monitor progress on executive initiatives.
3. Communication & Stakeholder Management
Act as a point of contact between executives and internal/external stakeholders.
Facilitate communication across departments.
Handle inquiries and provide information as required.
Build and maintain professional relationships with clients, partners, and vendors.
4. Office Management
Coordinate office operations and administrative activities.
Manage office supplies and executive office resources.
Assist in organizing company events and executive meetings.
Ensure compliance with company policies and procedures.
5. Reporting & Documentation
Prepare business reports, presentations, and management dashboards.
Compile and analyze information for decision-making purposes.
Maintain records of meetings, contracts, and key business documents.
Required Qualifications
Bachelor's degree in Business Administration, Management, Communications, or a related field.
2–5 years of experience in an Executive Assistant, Administrative Assistant, or similar role.
