Job Summary
The Account cum Documentation Officer is responsible for maintaining accurate financial records, processing accounting transactions, preparing financial reports, and managing organizational documentation. The role ensures compliance with accounting standards, company policies, and statutory requirements while maintaining an organized documentation system.
Key Responsibilities
1. Accounting Responsibilities
Record daily financial transactions in the accounting system.
Prepare payment vouchers, journal vouchers, and cash/bank vouchers.
Maintain cash books, general ledger, and subsidiary ledgers.
Reconcile bank statements, cash balances, and vendor accounts.
Process invoices, payments, and expense reimbursements.
Assist in preparing monthly, quarterly, and annual financial statements.
Monitor accounts receivable and accounts payable.
Prepare tax-related documents (VAT, TDS, income tax, etc.) in compliance with local regulations.
Support internal and external audit activities.
Maintain petty cash and monitor cash flow.
2. Documentation Responsibilities
Maintain and organize financial and administrative documents, both in physical and electronic formats.
Ensure proper filing and retrieval of contracts, invoices, purchase orders, receipts, and correspondence.
Prepare reports, letters, and official documents as required.
Verify the completeness and accuracy of documents before processing.
Maintain document confidentiality and ensure secure storage.
Coordinate with departments to collect and update required documents.
Ensure compliance with document retention policies and regulatory requirements.
3. Administrative Responsibilities
Assist in procurement documentation and vendor registration.
Coordinate with banks, auditors, government offices, and external stakeholders.
Maintain inventory records of office assets and supplies.
Support office administration and finance-related tasks assigned by management.
Perform other duties as assigned.
Required Qualifications
Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
Minimum 2–3 years of relevant experience in accounting and documentation.
